How long
does it take to get set up?
The Hotlines normally take 2 business days from
the time we receive your completed enrollment form. Then we set up
their voice broadcasting account. You will be asked to fill in a SAN
Compliance Form and once we have that information back you are free to
send out a broadcast at any time. We then immediately set up a branded and
unbranded website under a dummy domain name. As soon as you provide us
with your choice of domain names we register them and make your unbranded
site live immediately. We require more information for the branded
site which is spelled out on the "Getting Started Fast Form" we will send
to you.
During the first week your dedicated rep will also book a one on one
training call with you. During that training call the rep will go through
all of the services with you, explain how it works, talk about advertising
etc. This usually lasts approximately one hour. Once you are set up,
everything runs automatically.
How
will I know when my system is ready?
As soon as your Hotline system has been set up you will
receive an email which will include your toll-free number, message mailbox
number, password, web address from hotline reporting service, Fast Start
User Guide and Quick Card. You will also be contacted by phone or
email when your websites are ready.
Who does the
advertising?
You do the advertising following the guidelines
that are provided in the Instant Mortgage Marketing Manual.
Where do I advertise?
Several sample ads of different sizes are
included in the system. These ads can be used as is or adapted to
many different publications such as Newspapers, Postcards, Coupons,
Newsletters, Classified Ads, Display Ads, Websites, Flyers, Door Hangers, Mail
Inserts, Signs, Billboards, Business Cards, Real Estate Magazines,
Property flyers, Open House flyers and Car Signs, just to name a few.
How do I use the
extensions?
You can assign a separate extension to each ad.
A small ad may read something like this:

When a prospect calls your hotline
they hear the main greeting and are instructed to enter the extension
number. The extension number serves two purposes. The first
purpose is that it takes them to the particular message you want them to
hear that applies to that particular ad. Each extension can have
it's own unique message, or you can just duplicate existing messages onto
new extensions as you need them. The second purpose is to track the
effectiveness of your advertising. Every time someone calls your
hotline and enters an extension number that call is logged and referenced
by that number. This way you can always know what ad the caller was
looking at and you can know exactly how many leads came from each ad.
Do we
have to record our own scripts?
We will load scripts for each of the campaigns
on your system when it is setup. If you want, you can simply copy
these scripts onto new extensions and use them as is. You may also
record new scripts onto your system at any time. It's just like
recording a voice mail greeting and full instructions are included in the
User Guide. Once the script is in the system you can copy it onto
new extensions at any time. If you would prefer to have the script
recorded by another voice you may send in your customized script and it
will be professionally recorded for $10 per script.
Do I need new
phone lines, servers or any other hardware?
No, you don't need any new hardware or phone
lines. All the calls to your hotline come into and are handled by
the AMS call center. Then you simply retrieve your messages and
reports from the call center via a regular phone or the website. The
easiest way is normally through the website. Because the call center
uses multi line technology, your callers will never get a busy signal and
they will be able to call any time, night or day. Your websites will
be hosted and maintained on our servers.
How long do
calls normally last?
The average call, using the scripts that are
provided, lasts about 2 minutes.
What is the
Web Reporting Service?
The Web Reporting Service is one of
the best parts of the AMS system. When your system is set up you
will be provided with a link to your own AMS hotline management web site.
This site is password protected. When you login to the site you can
do a number of things such as:
- Pull up reports on the number of calls that have come in and what ad
they called on.
- Pull up reports showing the number your prospect called from and the
time they called.
- Manage your scripts and set up new extensions.
- Change your settings, such as the "find me" feature number
- Pull up billing reports and usage statistics
- Listen to the messages that your callers left for you. (This is probably
the handiest feature)
